How to Queen an Event
As stated on the "About Our Group" page of this website . . .

Our chapter is headed up by Queen Olive Us (All-Of-Us). She is in charge and she makes sure we know it!! She allows us to take turns planning our events, and whoever is planning the activity for the month is "Queen Olive Us" for that month.
Being the Queen for an event may seem scary or intimidating, and until you've done it a few times, that's entirely understandable. But it's also one of the reasons our group is so great and works so well - because we take turns planning events and everyone has the opportunity to share her ideas and interests with the other ladies, and also has the chance to be in charge.
Here are some steps to follow when it's your turn to be Queen. And please know that if you get stuck, need help in any way, or just want someone to run your ideas by, Joy is always available and more than willing to assist you with sending emails, researching information, or anything you need.
DO NOT HESITATE TO ASK FOR HELP!!!

Describe your idea for an event in as much detail as possible.

Where are we going?
-
What are we doing?
-
What’s the best month to do this?
-
Or - Is it a one-time thing with specific dates and times?
-
What are the costs involved?
-
Are advance tickets required?
-
When do you need the money so you can make the reservations?
-
Do we need to bring anything, or prepare in advance for this event in some way?
-
Discuss with the group and select a date, meet time, and place.
Choose a restaurant for lunch or dinner.
- Find out if they take reservations.
- If not, it's sometimes helpful to call in advance to give them a "heads up" that a group of (number) is coming and the approximate time.
- Or - If it’s an “in” event, are you providing the food?
- Or - Do you want everyone to bring a dish?
- Is there a specific menu or theme?
- If you are providing the food, how much should each lady contribute towards the costs?
Email the group with all the details and ask for RSVP’s.

Be sure the email is sent to the entire group and “Red Hats” is in the subject line.

If advance payment is required, include the best way to pay you: Zelle? Check? Cash?

By what date?
Make any necessary advance reservations.

Decide if it’s better for you to keep all the tickets, or to hand them out in advance.
About 7-10 days before the event, send a reminder email to the ladies who are attending. Again, be sure “Red Hats" is in the subject line.
PLEASE KEEP JOY INFORMED OF THE DETAILS SO SHE CAN UPDATE OUR WEBSITE WITH ALL THE INFORMATION.
On the day of the event, you are the leader of the group. Just also remember to relax and have fun.
